What do missed calls cost a business? Work it out in four lines

Count the calls you missed in a normal week, decide how many would have become paid work, multiply by what a job is worth, then by the weeks you trade. The answer belongs to your business alone, which is why a figure quoted from somewhere else is worth nothing to you.

01

Why a published number will not help you

Any claim about what missed calls cost businesses is an average across firms that have little in common. A plumber on emergency call-outs and a landscaper quoting a full garden lose very different amounts when the phone goes unanswered.

So the useful number is yours, and it takes four lines of arithmetic and one look at your phone. We have no statistic to give you and would not trust one if we did.

02

Line one: count a real week

Open the call log and count the calls you did not pick up in a normal week. Ignore suppliers, sales calls and wrong numbers. Count the genuine enquiries only.

Then add the ones you did return, if the reply took more than a few hours. A slow reply loses work too. It is just quieter than a missed one, because the customer never tells you where they went.

03

Line two: how many would have become jobs?

Use your own record, not hope. Of the enquiries you do answer, what share turns into paid work? That is the ceiling, because someone who reaches you converts better than someone who reaches voicemail.

Work the sum twice: once with your real rate and once with a lower one you would be comfortable defending. If both versions come out as money worth having, the problem is real. If only the optimistic one does, it may not be.

04

Lines three and four: job value, then the year

  • Calls missed in a normal week: your count from line one.
  • Share that would have booked: your rate from line two.
  • Average value of a job, after costs: use profit, not turnover.
  • Weeks you trade in a year: not 52 if you take holidays or have a quiet season.

Multiply all four together. The result is what unanswered calls cost you in a year, on your own numbers, and you can show your working to anyone who asks.

05

What to do before you spend anything

Two fixes cost nothing. Record a voicemail that says what happens next, for example that you are on a job and will reply by message, and ask for a name and what the job is. Then reply to every missed call by message the same day, however briefly.

Only once that is habit is it worth asking whether a system should do it for you. The sum above tells you how much that is worth to your business, which is the number to set against any quote, ours included.

When this is not worth fixing

If you are booked solid for months, or your work arrives by referral and repeat custom, missed calls cost you little. Do the sum anyway, because it takes five minutes, and be ready to find out the answer is that you do not need us.

Tell us what breaks when you get busy.

The first step is a call, and it costs nothing: twenty minutes on what your business does and what breaks when you get busy. Most projects then start with the £450 Diagnostic: half a day walking your process end to end, with a written recommendation and a fixed quote, credited in full against a build if you go ahead within thirty days. If you already know which package you need and its scope is clear, we quote it directly.
