What this site collects, why, how long we keep it, and how to complain. It is short because we collect very little.

01Who we are

Archline Digital Solutions is the trading name of Ryan Nicholls, a sole trader. We decide how the information on this site is used, which makes us the controller under UK data protection law.

We are registered with the Information Commissioner’s Office and have paid the data protection fee. Registration reference: ZC249677.

We are a one-person business and have not appointed a Data Protection Officer, which the law does not require of a business this size. Email us and you reach the person who makes the decisions.

02What we collect, and why

When you send an enquiry: your name, and an email address or phone number so we can reply, and, if you give them, your message and what you were looking at when you got in touch. We use them to reply to you and to discuss the work. The legal basis is taking steps you asked for before a contract.

Enquiries you start but do not send: once you have typed a name and a usable email address or phone number, the form saves what you have typed so far, as you type it, even if you never press send. We use it to follow up that one enquiry: we get an email with what you had written so we can reply or call. If you gave an email address and did not send the enquiry, we may email you once, a few hours later, to ask whether you still want a call back. That email is about your enquiry only, is not marketing, and we will not send another unless you reply. Saving happens on our own server only, nothing is stored on your device, and nothing is saved from visits our spam checks flag. The legal basis is our legitimate interest in not losing a genuine enquiry. If you would rather we did not follow up, email us and we will delete it.

When you book a call: your name, an email address or phone number, the time you choose and, if you give them, your business and what you want to talk about. We use them to hold the time, confirm it by email, remind you on the day and call you. We add the call to our calendar with those details so we are prepared. If you give an email address we send you a confirmation and a reminder; you can cancel from a link in them. The legal basis is taking steps you asked for before a contract.

Where the enquiry came from: if you arrived through one of our own tagged links, or from another page, we record that alongside the enquiry. It tells us which of our posts and pages bring enquiries. The legal basis is our legitimate interest in knowing what works.

Delivering the site: like any website, our hosting provider handles your IP address to serve pages and to filter malicious traffic.

03Cookies

This site sets no cookies for visitors, stores nothing on your device, and runs no third-party analytics or advertising. The fonts are served from our own server. That is why there is no cookie banner: there is nothing to consent to.

Spam check on our forms: the enquiry forms use a bot check from Cloudflare, which loads from Cloudflare’s servers when the form is on the page. It runs in the background and only asks you to do something if it cannot tell you are a person. To decide, Cloudflare processes your IP address, your browser’s User-Agent and TLS fingerprint, and the site it ran on, on our behalf, and uses the same signals to improve its own bot detection under its Turnstile privacy notice. We set no cookie ourselves for this check. The legal basis is our legitimate interest in keeping spam out of our enquiries.

What we do count: on our own server, we count when the booking demo or the calculator is used, when a video is played, when a Line Check is run and when a call is requested or booked, with the campaign or site that sent the visitor there. Each count is a date, what happened and where from, and a number. It holds nothing that identifies you, and nothing is stored on your device to make it work.

04The quoting tool

If a business uses our quoting tool, the quotes, customer names, phone numbers and job details in it belong to that business. We hold them on the business’s behalf, in a database kept separate for that business. If you are a customer of one of those businesses, ask the business about your information first.

On the Full plan, a business can speak or type rough notes about a job and have AI turn them into a short summary for the customer. The text of those notes, and the type of work, are sent to an AI service to write it. The customer’s name and contact details are not sent. The business sees the summary and can edit it before it goes on a quote.

05Who else handles it

  • Our hosting and database provider, which runs this site and stores enquiries.
  • Our email delivery provider, which sends each enquiry to us as a notification.
  • Our email inbox provider, where that notification and our replies are kept.
  • Our calendar provider, which holds the entry for each booked call.
  • An AI service, used only by the quoting tool’s Full plan, which turns a business’s rough job notes into a short summary.

We do not sell your details, we do not add you to a mailing list, and we do not share them for marketing. We disclose information only where the law requires it.

Some of these providers are headquartered in the United States and may process data outside the UK. Where they do, they rely on transfer safeguards recognised under UK data protection law.

06How long we keep it

Enquiries are deleted automatically 12 months after they arrive, and the notification copy in our inbox is cleared on the same schedule. There is no legal minimum for an enquiry, so we keep it only as long as it is useful to a conversation.

Unsent enquiries are deleted after 30 days. An enquiry you do send replaces the saved draft straight away.

Booked calls are deleted on the same schedule, 12 months after they were made. The calendar entry for a call holds your name and how to reach you, and we remove those entries ourselves within the same period.

If an enquiry becomes paid work, the records of that work are business records. We keep those for as long as HMRC requires: at least five years after the 31 January filing deadline for the tax year they belong to.

07Your rights

You can ask for a copy of what we hold about you, have it corrected, have it deleted, restrict or object to how we use it, or have it in a portable format. Email hello@archlinedigitalsolutions.co.uk. We reply within one month and it costs nothing. We may ask you to confirm who you are first, so we do not hand your information to someone else.

08Complaining

If you think we have handled your information badly, tell us first so we can put it right. Email hello@archlinedigitalsolutions.co.uk with "Data protection complaint" in the subject. We will acknowledge it within 30 days, look into it without undue delay, keep you updated, and tell you the outcome.

You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. You do not have to come to us first.

09Changes

If we change how we handle information, we update this page and the date at the top.
