Booking, payments and memberships that talk to each other.

From a gym owner who lives with the problem. One system for class bookings, payment at booking and memberships, built once for your gym and owned by you.

The one thing it cannot get wrong

A class that is full is full, and everyone who booked has paid.

A gym or studio has three things that must agree: who has booked, who has paid, and who is a member. When they live in three tools they drift apart, and the drift is what the front desk spends the week fixing.

The way we build it, the limit on a class is enforced where the data lives, in the database, in the same way the rule that stops a slot being booked twice is enforced on ShotBot. It is not a check in the page that a second request can slip past.

I ran CrossFit Monarch for over three years and I’m still a part-owner, so I know what it’s like when booking, payments and memberships don’t talk to each other. Ryan, founder of Archline.

What breaks when it gets busy

Three places it usually goes wrong.

  1. 01

Three tools that do not talk

Bookings in one, payments in another, memberships in a spreadsheet. Nothing is wrong until someone asks whether a member has paid for a class they are booked into.

  2. 02

    Confirmed by hand

Every booking is confirmed by hand, and that is your evening gone.

  3. 03

    No-shows chased by phone

The slot is already lost by the time you ring. A system that takes payment at booking changes who carries that cost.

The proof

Recorded, not mocked up.

The proof below is ShotBot’s. ShotBot is our own padel ball machine hire product, not a gym. What carries over is the mechanism: the same rule that stops a slot being booked twice, payment at the point of booking, and automatic confirmations.

ShotBot’s WhatsApp assistant, live on ShotBot’s own number. It answers from live availability, holds the price, and hands over to a person when asked. Silent screen recording.

What the build includes

The Order build: From £3,500.

Everything in Attention, plus customers booking or ordering and paying for themselves, without ever double-booking you. Typically 4 to 8 weeks. Monthly retainer £249. Fixed price, 50% to start and 50% on delivery.

  • Up to 8 pages, with booking and service pages included
  • Real-time availability, calculated server-side rather than cached and hoped for
  • Double-booking prevented by a database constraint, not application logic: impossible, not unlikely
  • Payment captured at the point of booking through Stripe, so the slot is paid for before anyone turns up
  • Automated transactional email: confirmations, reminders, cancellations
  • Admin dashboard: bookings, customers, revenue, exports
  • Cancellation, rescheduling and refund handling, without a phone call
  • Online ordering and recurring subscriptions, with delivery priced by postcode
  • Basic follow-up for enquiries that don’t convert

Every price is published on the services page. Most projects start with the £450 Diagnostic, credited in full against a build within 30 days.

Rent or build

Renting is sometimes the right answer.

Rented gym and class software is quick to start and has a monthly fee, and some add a commission on each new client their own app sends you. Simpler scheduling tools cost far less, and for a simple diary they can be the right answer. Building costs more at the start and then does not charge you more for being busy. The costs page sets out both, with what you keep in each case.

Questions

Three questions, answered directly.

Can members pay by subscription?
Yes. The Order build, from From £3,500, includes online ordering and recurring subscriptions, with payment through Stripe. Which memberships and passes you sell is scoped with you, and the monthly retainer is £249.
Can a class be limited to a set number of places?
That is how we build it: the limit is enforced in the database, not only in the page, so a class cannot be booked past its places by two people at once. Exactly which classes, limits and waiting rules you need is the work of the Diagnostic.
Should I just use a rented gym software tool?
If you need a simple diary, a rented tool can be the right answer, and you should not build what you do not need. What a simple scheduling tool gives up is the membership, class and payment handling a business like a gym needs. If you are unsure, the costs page sets out both, and the free call will tell you honestly which fits.

Tell us what breaks when you get busy.

The first step is a call, and it costs nothing: twenty minutes on what your business does and what breaks when you get busy. Most projects then start with the £450 Diagnostic: half a day walking your process end to end, with a written recommendation and a fixed quote, credited in full against a build if you go ahead within thirty days. If you already know which package you need and its scope is clear, we quote it directly.
