What do you do when you cannot answer the phone on a job?
Do not try to answer every call. Decide which calls are worth stopping for, let the rest go to a greeting that says when you will reply, and set two fixed times in the day to call back. A caller who knows when to expect you usually waits.

01
You are not meant to answer every call
Work done properly needs both hands and your attention, and a call taken halfway up a ladder rarely goes well for either the caller or the job. The aim is not to answer everything. The aim is that nobody who rings ends up feeling ignored.
02
Decide which calls are worth stopping for
- A customer you are already working for, because they may be about the job in front of you.
- A number you do not recognise during working hours, because it may be a new enquiry.
- Anything you have been waiting to hear, such as a supplier or a quote you are chasing.
Everything else can wait. Phones let you silence calls from some numbers and not others, so it is worth ten minutes to set that up rather than stopping for every ring.
03
Give the caller a greeting that does the waiting for you
If you are not going to pick up, the next best thing is a voicemail that tells the caller you are on a job, when they will hear back, and what the quickest alternative is. People will wait for someone who has told them how long.
04
Set two fixed times to call back
Pick two points in the day, such as your morning break and the end of the job, and treat them as call-back time. Go down the missed calls in one go, newest unknown numbers first. Two short sessions beat a day of half-answered calls, and you can say the time in your voicemail because you know you will keep it.
05
When the calls are still slipping through
If you do all of this and genuine enquiries still go unanswered, the problem is volume rather than habit. A text that goes out automatically after a missed call keeps the caller warm until you can reply properly, and it is the cheapest fix there is.

Tell us what breaks when you get busy.
The first step is a call, and it costs nothing: twenty minutes on what your business does and what breaks when you get busy. Most projects then start with the £450 Diagnostic: half a day walking your process end to end, with a written recommendation and a fixed quote, credited in full against a build if you go ahead within thirty days. If you already know which package you need and its scope is clear, we quote it directly.
